Guidelines for speakers
Presentation guidelines
- Regular oral presentations are scheduled for a total of 15 min. You should plan to speak for 12 min and leave 3 min for questions.
- The total time allotted for a keynote presentation is 30 min (plus 15 minutes discussion).
- Session Chairs are asked to be very strict about respecting time limits!
- Please arrive at your session room at least 10 min in advance of your session. This will give you time to meet with your session chair and familiarise with the setting. One of our conference volunteers will be available to support the session and assist with the technical setup.
Technical information
- All the speakers presenting on Monday are requested to submit their presentation by Friday 06.09.2024, 09:00 am
- All the other speakers please upload your presentation until 09:00 am 1 day before the day of the presentation, e.g. if you present on Wednesday morning, submit your talk by Tuesday morning)!
- Please submit the presentation online, we will provide the details in due time.
- Format: All presentations should be saved either in Microsoft PowerPoint (pptx format preferred) or as a PDF file in 16:9 format (full read/write permissions).
- File name: Please use the following file name format: Day of the presentation_session number_ talk number_name author.pptx, i.e., Monday_PE1-O1_Smith.pptx You will find the number for your presentation in the Whova app, just enter your name in the search function. Alternatively check the detailed schedule overview on the programme
page.

- Please upload your presentation via the following link provided by our IT service provider, who will take care of the IT-related conference arrangements.

- Please note: Due to the very large number of talks, we cannot answer any individual questions related to the upload or quality of presentations. A brief technical check will be performed with each presentation and we will contact you in case of any issues. Should you have any questions or concerns, please approach the IT Desk at the conference venue in person.
- Each session room will be equipped with a projector and integrated Windows computer ( Win11 Education 23H2). There will be no Macintosh computer and it is not possible to use your own laptop! Please make sure that your PowerPoint presentation can run on a Windows computer and prepare a PDF to be sure.
- Laser pointers will be provided for each session.
Instructions for Posters
Poster sessions are an important part of this conference. There will be a total of 2 scheduled poster sessions during the conference Tuesday and Wednesday.
Designing your poster
- Size of your poster:
- Each poster presentation will be allocated one display board. The dimensions of the poster should be in A0 portrait format (120 cm high and 85 cm wide).
- Poster Submission:
- Please bring your own poster printed for the poster session.
- For the poster competition, please submit your poster as a PDF by Friday 06.09.2024, 09:00 am. Please follow the instructions for the upload as provided above for oral presentations.
- File name: session number_ poster number_name author.pdf, i.e., PE1-P1_Smith.pdf.
- You will find the number for your presentation in the book of abstracts, which you can find on Whova and the conference website. Alternatively, you can find an abridged poster list on the programme page.
- Locating your poster board
We have two locations, ZHG and the Forestry building.
Posters will be allocated to the Session submitted and will have an individual ID Number. The Boards will be numbered and labelled with your ID (Eg. AG1-P1).
There will be someone present at registration to help locate your placement.
- Erecting and dismantling
Please put up your poster at registration time Monday 09:30 to 18:00. Posters should be on display from 18:00 on Monday 9 September 2024 until the end of the Conference on Thursday 12 September, and should be removed on Thursday by 19:00 as remaining ones will be disposed of.
- Mounting your poster on the poster board
Posters will have to be stuck to the hard top boards. Pins will be supplied by the organisers.
Poster pitches
- The poster pitches have been selected at random. You can check on Whova if you’ve been selected for a poster pitch, by either checking the agenda or using the search function with your name.

- Be prepared to give a brief (1-2 minute) summary of your poster to conference attendees.
- It should be great fun!
- If you wish to withdraw from the pitches, please let us know before Monday the 9th of September.
- Attending your poster
Please consult the conference programme for the timings of the poster sessions.
- The poster competition
Every poster has been entered into a competition. The attendees will be able to vote for their favourite poster via Whova, and the most voted for posters will get a chance to present their posters to the whole conference during the closing ceremony, and a certificate.
If you wish to withdraw from the poster competition, please let us know before Monday the 9th of September.
